Domestic staff, sorted

Geofenced clock-in, today's hours, tasks ticked off as they go.

Tracking hours for domestic staff is fiddly — paper diaries get lost, mental tallies drift. HeyKit gives each person a unique URL. They open it on their own phone, tap to clock in, and GPS confirms they're at your address. No app install. No password. Just a link.

Geofenced clock-in

Each staff member gets a unique secret URL. Open it, tap Clock In, the browser asks for location, GPS confirms they're within 100m of your house, entry recorded.

  • 100m radius configurable in Profile
  • Home location set once from your own phone at the house
  • Distance recorded with every entry — see exactly how far they were when they tapped
  • Telegram message to you on every clock-in / clock-out

Fallback when location is blocked

If a staff phone has location turned off, the clock-in page detects it and offers a friendly fallback button: 'Clock In without location'. The entry still saves but is flagged 'no location' so you can spot patterns.

  • Step-by-step iPhone Safari + Android Chrome instructions on the help card
  • Doesn't dead-end the staff member when GPS misbehaves
  • Admin sees flagged entries in the Telegram message + Staff history

Today's hours, in real time

Each staff member's page shows their hours-worked for the day, with running total updating as they clock in / out. Easy proof of how long they were on-site.

Tasks list per staff

Assign daily / weekly tasks to each staff member. They tick them off as they go. Cleaner can see the day's room list, gardener can see the week's mow / hedge / pool schedule.

  • Recurring tasks auto-reset when they clock in next
  • Telegram message includes how many tasks are completed today
  • Same task system as the family chores, just scoped per staff

In practice

What you can do with this

Live-out domestic worker

She arrives at 8, you get a Telegram ping with the time + distance. She leaves at 16:30 — another ping with hours worked. Pay accurately at month-end.

Gardener once a week

Friday gardener has 6 tasks for the day. Picks them off as he goes. You see real-time progress without micromanaging.

Pet sitter / dog walker

Travelling for the week. The sitter clocks in twice a day. You can confirm she came by, see the time, see how long she stayed.

Common questions

Does the staff member need a HeyKit account?

No. They just need the unique URL — open in any browser. No app install, no signup, no password.

What if their phone's location is off?

The clock-in page detects it and shows step-by-step instructions to enable location (iPhone Safari, iPhone system settings, Android Chrome). There's also a 'Clock In without location' fallback that flags the entry.

How accurate is the geofence?

GPS is typically accurate to 5-20m in urban areas with good sky view. The 100m default radius is generous enough to handle entry at the gate vs the back of the property. Adjust the radius in Profile if needed.

Can I see a history of clock-ins?

Yes — the Staff section shows every entry with timestamp, distance, and whether it was verified. Filter by staff or by date.

Will the staff member's data be private?

Their clock-in entries are only visible to you (the family admin). The URL is unguessable. If you regenerate the URL, the old link stops working.
